General Refund Eligibility

Unless explicitly stated otherwise in your service agreement or contract, Varayo Inc. provides services on a month-to-month or term basis, paid in advance. Our refund policy varies depending on the type of service purchased:

Monthly Services (e.g., Fiber Internet, Phone Service)

All charges for monthly recurring services are **non-refundable**. Customers are responsible for the full monthly service fee regardless of when the service is cancelled within that billing cycle. No prorated refunds will be issued for early cancellation.

Annual/Term Commitments

Services purchased under an annual or multi-year contract are subject to the specific refund and cancellation terms outlined in that agreement. Early termination fees may apply and must be paid in full before cancellation is complete. Unless otherwise agreed upon, any upfront payment for an annual term is non-refundable.

Equipment Purchases

Refunds for customer-purchased hardware (e.g., routers, switches) are subject to a 30-day return window from the date of delivery. Equipment must be returned in like-new condition, with original packaging, and may be subject to a restocking fee of up to 20%.

Cancellation Process

To cancel any Varayo Inc. service, the following procedure must be followed:

  • **Notification Requirement:** All cancellation requests must be submitted in writing (via email to billing@varayo.com or through a formal support ticket) by the authorized account holder.
  • **Effective Date:** Cancellation requests are processed at the end of the current billing cycle. Services remain active until the end of the paid cycle.
  • **Terminated Accounts:** If the service is under a term commitment, an early termination fee will be assessed and must be paid before the account can be fully closed.
  • **Final Bill:** You will receive a final bill that may include any outstanding usage fees, termination charges, or equipment return fees.
Non-Refundable Items

The following charges are typically non-refundable:

  • One-time setup or installation fees.
  • Fees for custom projects or professional services already rendered.
  • Domain name registration fees (these are non-refundable once registered).
  • Fees for the current month of service (no prorated refunds).
  • Usage fees for excess bandwidth, long-distance calls, or overages.
Exceptions and Special Circumstances

Refunds may be considered only under the following specific circumstances:

  • **Billing Errors:** If you were erroneously double-charged or billed incorrectly, a refund for the excess amount will be processed immediately upon verification by our billing team.
  • **Service Outages (SLA):** If a service outage exceeds the guaranteed uptime specified in your Service Level Agreement (SLA), you may be eligible for a service credit or refund as defined in that SLA. Eligibility is subject to verification of the outage metrics.
  • **Hardware Failure:** If Varayo-rented or Varayo-provided equipment fails and we are unable to replace it within a reasonable timeframe, a credit may be applied for the period the service was unusable.
Payment & Security Details

Varayo Inc. accepts payments via ACH, Credit Card, and wire transfer. All credit card transactions are processed securely through PCI DSS compliant third-party processors. Varayo Inc. does not store full credit card information on its servers.

Automatic recurring billing is the default method for most services. Customers are responsible for keeping payment information current to avoid service interruption due to failed payments.
